What is RusEntry and what services does it provide?

RusEntry is a private visa and travel assistance agency specialising in entry documentation for foreign nationals visiting Russia. We are not a government body or official embassy service. Our services include e-Visa application assistance, tourist and business invitation letters, migration registration support, and general tourist support during your stay. We act as an intermediary to reduce the complexity of obtaining Russian entry documents.

How does e-Visa assistance work? Do I apply myself or do you do it?

For Russian e-Visa applications, the applicant must submit the form under their own name on the official government portal. RusEntry assists by:

  • Reviewing all your details before you submit to minimise errors
  • Checking your photo for compliance with ICAO and Russian requirements
  • Verifying your accommodation and travel insurance details
  • Advising on any potentially problematic entries
  • Guiding you step-by-step through the official application portal

We cannot submit the e-Visa on your behalf as the form requires the applicant's direct input on the official system. However, with our guidance, the process is significantly faster and error-free.

What is an invitation letter and do I need one?

An invitation letter (also called a tourist voucher for tourist visas, or a formal invitation for business visas) is a document issued by a Russian host entity confirming the purpose and details of your visit. It is required when applying for a standard Russian visa through a consulate β€” as distinct from the e-Visa, which does not require an invitation letter.

If you are applying for a visa at a Russian embassy or consulate, you almost certainly need one. Our letters are accepted globally and include all required details. Delivery is by email PDF within 24–48 hours.

How long does processing take?

Processing times vary by service:

  • e-Visa: The Russian government processes e-Visas in 4 calendar days. Our review adds 12–24 hours before submission.
  • Tourist Invitation Letter: 48 hours standard, 24 hours express.
  • Business Invitation: 3–5 business days standard, 1–2 days express.
  • Migration Registration: 1–3 business days; same-day available in major cities.
  • Full Package: 5–7 business days standard, 2–3 days express.

All times are estimates and may be affected by application volume or official authority response times. We recommend submitting at least 2–3 weeks before your planned travel date.

What is your refund policy if my application is rejected?

Our refund policy is as follows:

  • Rejection due to our error: If your application is rejected because of an error in documentation we prepared or guidance we provided, we will reprocess your application at no additional charge.
  • Rejection due to applicant error: If rejection is caused by information you provided that we could not independently verify (e.g., travel history, personal circumstances), our service fee is non-refundable, but we will assist with resubmission at a 50% reduced fee.
  • Cancellation before processing begins: Full refund if you cancel within 2 hours of payment.
  • Cancellation after processing begins: A 30% administration fee is retained.

Government and consular fees paid to third parties are non-refundable regardless of outcome.

What document formats do you accept?

We accept the following document formats for review and processing:

  • Passport scans: JPEG, PNG, or PDF; minimum 300 DPI; all four corners visible; no glare or shadows.
  • Passport photos: JPEG; 35Γ—45 mm at 300 DPI (approximately 413Γ—531 px); white background; ICAO-compliant.
  • Supporting documents: PDF preferred; JPEG accepted for single-page items.
  • Insurance policies: PDF only.

Please do not send physical documents by post unless specifically requested. All normal communication is by email.

Is my personal data safe with RusEntry?

We take data privacy seriously. All documents and personal information you share are transmitted over encrypted channels (TLS). We do not store your passport data beyond the duration of your active application. Documents are deleted from our systems within 30 days of case closure. We do not share your data with third parties except where strictly necessary to fulfil your service (e.g., our accredited partner for invitation letter issuance in Russia).

Can RusEntry guarantee visa approval?

No β€” and any service that claims to guarantee visa approval should be treated with scepticism. Visa decisions are made solely by Russian government authorities, and RusEntry has no influence over their decisions. What we do guarantee is that your application is prepared correctly, completely, and professionally, maximising your chances of approval. Our track record reflects a very high approval rate for well-prepared applications.

Do you assist with group or corporate travel?

Yes. We offer group invitation letters for tour groups of 2–20 persons and can manage corporate travel programmes for companies sending employees to Russia on a recurring basis. For groups of 5 or more, or for corporate enquiries, please contact us directly for a tailored quote. Volume discounts apply for groups and regular corporate clients.
